Terms & Conditions for Events
The terms ‘Association of Project Safety’, ‘APS’, ‘us’, ‘we’, or ‘our’ refer to the owner of APS.org.uk (the Website), registered at 5 New Mart Pl, Edinburgh EH14 1RW.
This page sets out the terms and conditions for booking places on our Webinars, CPD sessions, APS Academy Courses and National Conferences. Throughout these terms, these are collectively referred to as “APS event/s.”
By booking online, you agree to these terms and conditions. If you do not accept them, you will not be able to make an online booking.
CONFIRMATION OF BOOKING
All bookings are subject to availability of the APS Event and formal acceptance by us, and we will confirm such acceptance to you by sending you a confirmation e-mail stating that the booking has been confirmed (the ‘Booking Confirmation’).
The contract between us (‘Contract’) will only be formed when we send you the Booking Confirmation. The Contract will relate only to those events which we have confirmed in the Booking Confirmation. Should there be a limited number of places at an event, bookings will be taken on a first come, first served basis.
PRICE AND PAYMENT
Prices are liable to change at any time, but changes will not affect bookings in respect of which we have already sent you a Booking Confirmation, except in cases of obvious error.
Event prices are clearly shown on each event booking page and are inclusive of VAT where applicable.
Bookings can only be made online. To book, you’ll need to log in or create an APS online account.
Payment is due at the time of booking. Payment can be made by credit or debit card through our secure payment system. We do not accept cheques, credit notes, bank transfer or cash for online bookings.
JOINING INSTRUCTIONS (ONLINE EVENTS)
You will receive a confirmation email once your booking has been processed. This email will include the link to join the online event. If you have not received this one week prior to the event, please check your inbox, spam and junk folders before contacting us.
ACCESSIBILITY & INDIVIDUAL REQUIREMENTS
APS is committed to making its events as accessible and inclusive as possible. If you have any access requirements, reasonable adjustment requests, or dietary requirements, please inform APS at the time of booking or as soon as reasonably practicable thereafter.
To help us make suitable arrangements, please send requests at least 14 days prior to the event where possible. APS will do its best to meet all requests made aware to us, but APS may not be able to fully accommodate requests made after this time.
APS EVENT CONTENT
APS reserves the right to make changes to the published programme, but not the overall content. For example, to timings and/or speakers if one of the advertised speakers is unable to attend. In such cases, you will not be entitled to a refund if you cancel your place.
RECORDINGS, INTELLECTUAL PROPERTY & USE OF MATERIALS
All copyright and other rights (including all intellectual property rights) in materials provided to you during or for the purposes of any APS Event (including, without limitation, course notes, slides, brochures, articles or case studies) are the property of APS or of our speakers, unless otherwise stated.
You are entitled to use such materials only for your own personal use. You are not entitled to copy such materials (except as permitted by law) nor are you entitled to use or authorise others to use such materials for any commercial purposes.
Most online APS events are recorded and made available to attendees to watch back on demand after the live session. However, APS Academy courses are not recorded, and no playback will be available for these sessions.
APS reserves the right to record APS Events (including audio, video, chat contributions, and presentations). By attending an APS Event, you grant APS permission to record your participation and to use such recordings for member content, educational purposes, and marketing or promotional activities.
Unauthorised recording, screenshots, photography, filming, reproduction, or distribution of any APS Event content is strictly prohibited.
Event slides are generally distributed to attendees after the event. On occasion, it may not be possible to share the slides; in such cases, the event recording will be made available to watch on demand (where applicable).
Links to join online events are issued to you as an individual delegate and are for your personal use only. You must not share, forward, sell, or otherwise provide your access link or login details to any other person. Any unauthorised sharing or use of event links may result in access being withdrawn without refund and may constitute a breach of these terms.
CONTINUING PROFESSIONAL DEVELOPMENT (CPD)
APS Events carry CPD hours. You will be awarded a CPD certificate upon completion of the full duration of the APS Event. These will be sent digitally and are also available in your account on the APS website.
CPD points are only awarded for attending events live. If you do not attend the event or choose to watch it back on demand instead, you will not receive a certificate with CPD points.
SPECIAL OFFERS
We reserve the right, from time to time, to run special promotional offers for APS Events. Special offers may include, but are not limited to, price promotions.
In the event of a special offer, additional terms and conditions may apply which will be made available at the time of booking.
Any places booked prior to the special offer will not be offered the promotion retrospectively unless specifically agreed by APS.
VENUE & IN‑PERSON EVENT TERMS
For in‑person APS Events, attendance is subject to the rules and requirements of the venue hosting the event.
Attendees must comply with venue access arrangements and any instructions issued by APS staff, event organisers, or venue personnel.
APS accepts no responsibility for personal property brought to in‑person events. Attendees remain responsible for the security of their belongings at all times.
Failure to comply with venue rules or APS instructions may result in refusal of entry or removal from the event without refund.
HEALTH, SAFETY & BEHAVIOUR
All attendees must comply with all applicable health, safety, and security requirements, including any reasonable instructions issued by APS, event staff, or venue representatives.
Attendees are expected to act professionally, respectfully, and courteously at all times.
APS operates a ZERO TOLERANCE APPROACH TO HARASSMENT, bullying, discrimination, intimidation, or inappropriate behaviour of any kind.
APS reserves the right to refuse admission to, or remove, any attendee whose behaviour is deemed disruptive, unsafe, offensive, or inappropriate, without refund or compensation.
DATA PROTECTION AND GDPR
Please note that while APS operates secure IT systems, we cannot guarantee the security of data while it is in transit via email. For this reason, we ask that you do not send payment information by email.
Unless we are fraudulent or negligent, we will not be liable to you for any losses caused as a result of unauthorised access to the personal and transactional information that you provide us when making a booking.
Your personal details will be handled in accordance with our Privacy Policy. Payment is processed securely by Stripe, and you consent to us sharing the necessary details to complete your transaction.
PRIVACY

PUBLICITY
We may use photographs taken at APS Events in publicity and marketing materials, including use on our Website and third-party platforms.
Your attendance at an APS Event may mean that you are featured in such photographs and you are deemed not to object to the taking of such photographs. If you do not wish to be included, please notify the photographer prior to photographs being taken.
OUR CANCELLATION AND REFUND POLICY
Cancellations must be received in writing by email to the Events Team by emailing info@aps.org.uk.
Refunds will be issued as follows:
- Between 12 and 8 weeks before the date of the event – 75% of the cost refunded
- Between 8 and 4 weeks before the date of the event – 50% of the cost refunded
- Between 4 and 2 weeks before the date of the event – 25% of the cost refunded
- Less than 2 weeks before the date of the event – no refund applicable
All bookings received within 2 weeks of the event date are subject to these cancellation terms with immediate effect.
All refunds issued will be subject to a 10% administrative fee.
APS reserves the right at any time, and without prior notice, to make changes to event content, speakers, or session timings. We may also cancel an event due to circumstances beyond our control (including, but not limited to, low attendance numbers, speaker unavailability, or events that may impact APS’s reputation). In such cases, we will offer a full refund or an alternative (online) event, if available.
If you fail to attend an event you have booked, no refund will be given. Where the event has been recorded, you may watch this back via your APS account; no CPD certificate will be issued.
If an event is postponed, attendees may transfer their booking to the new date. If they are unable to attend the rescheduled event, they may request a full refund within 14 days of being notified of the new date. Where an event is postponed, bookings will automatically transfer to the new date. Attendees who are unable to attend the rescheduled event may request a full refund.
TRANSFERRING TO AN ALTERNATIVE APS EVENT
Bookings are linked to individual online accounts and cannot be transferred to another person.
If you can no longer attend, you must cancel your booking. Any individual wishing to attend in your place must make their own booking using their personal online account. Event availability and pricing may vary at the time of booking. A 10% administration fee may apply for chargeable events.
OUR LIABILITY
All APS Event participants are responsible for ensuring the security of their own equipment, devices, and internet connection when attending our online events. We accept no liability for any loss, damage, or technical issues arising from your participation, including but not limited to data loss, interruptions, or unauthorised access to your systems.
We will not be responsible to you or any third party for any business loss (including loss of revenue, profits, contracts, anticipated savings, wasted expenditure, data, or goodwill) or for any other loss or damage that does not result directly from our actions.
Nothing in these online event terms and conditions excludes our liability to you for personal injury or death caused by our negligence.
EVENTS OUTSIDE OUR CONTROL
APS will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations under a Contract that is caused by events outside our reasonable control ("Force Majeure Event"). A Force Majeure Event includes any act, event, non-happening, omission or accident beyond our reasonable control and includes in particular (without limitation) the following:
- Strikes, lockouts or other industrial action.
- Civil commotion, riot, invasion, terrorist attack or threat of terrorist attack, war (whether declared or not) or threat or preparation for war.
- Fire, explosion, storm, flood, earthquake, subsidence, epidemic or other natural disaster.
- Impossibility of the use of railways, shipping, aircraft, motor transport or other means of public or private transport.
- Impossibility of the use of public or private telecommunications networks; and
- The acts, decrees, legislation, regulations or restrictions of any government.
Our performance under any Contract is deemed to be suspended for the period that the Force Majeure Event continues. We will use our reasonable endeavours to bring the Force Majeure Event to a close or to find a solution by which our obligations under the Contract may be performed despite the Force Majeure Event.
If a participant is unable to attend or fulfil their obligations due to a Force Majeure Event (being any circumstances beyond their reasonable control, including but not limited to those listed above), they must notify SAPS as soon as reasonably practicable. In such cases, APS may, at its discretion, offer a transfer to an alternative date or event, a credit, or a refund (in whole or in part), and no further liability shall arise.
WRITTEN COMMUNICATIONS
Applicable laws require that some of the information or communications we send to you should be in writing. When using our Website, you accept that communication with us will be mainly electronic. We will contact you by e-mail or provide you with information by posting notices on our Website. For contractual purposes, you agree to this electronic means of communication and you acknowledge that all contracts, notices, information and other communications that we provide to you electronically comply with any legal requirement that such communications be in writing. This condition does not affect your statutory rights.
OUR RIGHT TO VARY THESE TERMS AND CONDITIONS
We may revise these terms to reflect changes in technology, law, or operations. You will be subject to the terms in force at the time of booking unless required by law.
GOVERNING LAW AND JURISDICTION
These Terms and Conditions shall be governed by the laws of Scotland. The courts of Scotland shall have exclusive jurisdiction.

APS ACADEMY – ADDITIONAL TERMS AND CONDITIONS
All general APS online event terms and conditions apply to APS Academy courses. Due to the higher level of investment and nature of these programmes, the following additional terms also apply:
PAYMENT TERMS
Payment in full is required at the time of booking to confirm your place on the APS Academy. Places are limited and allocated on a first-come, first-served basis once payment has been received.
CANCELLATIONS AND REFUNDS
Cancellations must be received in writing via email to info@aps.org.uk. The standard APS cancellation and refund policy applies (see above).
All refunds issued within the permitted cancellation window will be subject to a 10% administrative fee.
The following sliding scale applies
- Between 12 and 8 weeks before the date of the event – 75% of the cost refunded
- Between 8 and 4 weeks before the date of the event – 50% of the cost refunded
- Between 4 and 2 weeks before the date of the event – 25% of the cost refunded
Less than 2 weeks before the date of the event – no refund applicable
COURSE MATERIALS
APS Academy course materials, slides, and resources are provided solely for the personal use of the registered participant. Materials must not be shared, copied, distributed, or reproduced in any form without prior written permission from APS.
PARTICIPATION AND CONDUCT
APS Academy courses are designed to be interactive, and delegates are expected to have their camera switched on throughout sessions to enable active participation and group engagement.
Participants will be able to see and interact with other delegates during the course.
All attendees are expected to behave professionally and respectfully at all times. APS reserves the right to remove any participant from the course, without refund, in cases of disruptive, inappropriate, or disrespectful behaviour.
TRANSFER OF BOOKINGS
If you have booked to attend an Academy course but can no longer make it, you may transfer your booking to a different course or course date, provided you notify us by email at info@aps.org.uk, at least two weeks before the scheduled course date. Transfer requests received less than two weeks before the course will not be accepted.
Only delegates listed on the confirmed delegate register may attend. If someone attempts to join the course who is not on the delegate list, they will not be admitted.
